Privacy Policy (Witty)
Effective Date: 1 August 2025
Welcome to Witty (“we”, “our”, “us”). We are committed to protecting your privacy and personal data. This Privacy Policy explains how we collect, use, and protect the information you provide while using Witty.
1. Who We Are
Witty is a UK-based collaborative web application developed by J C Ward. It helps teams plan, manage, and participate in workplace and social events. We provide secure user accounts, team spaces, event scheduling, and feedback tools.
2. Data We Collect
We only collect the data necessary to provide and improve Witty:
- Personal Information
- First name, surname
- Email address
- Date of birth
- Authentication Details
- Passwords (securely managed by Firebase Authentication — we do not store them ourselves)
- Profile & Settings
- Emoji avatar and background colour
- Team memberships and user roles (admin/member)
- User Activity
- Created teams, events, RSVPs, and submitted feedback
3. How We Use Your Data
We use your data to:
- Authenticate and secure your account
- Display your profile in teams and events
- Assign access and permissions based on your role
- Facilitate collaboration and event management
We do not use your data for training artificial intelligence or any automated decision-making systems.
4. How We Store & Protect Your Data
- Backend Infrastructure: We use Google Firebase for secure authentication, storage (Firestore), and server-side logic.
- Encryption: All data is encrypted in transit (HTTPS) and at rest.
- Access Controls: Firebase Security Rules limit who can read or write data.
- Local Storage: We use browser-based storage (IndexedDB and localStorage) for session management via Firebase Authentication. We do not use cookies for analytics or advertising.
5. Third-Party Services
We use the following third-party services:
- Firebase (Google): Authentication, database, backend services
- Google Fonts: For website font delivery
- placehold.co: For placeholder images
These services may process limited user data strictly for their intended functionality.
6. Data Retention
We keep your data only as long as necessary:
- Your account information is stored until you delete your account.
- User-generated content (like events or feedback) is retained for up to 5 years, unless updated — which resets the retention period.
- You may delete your account at any time, which irreversibly deletes all your personal data.
7. Your Rights
Under UK GDPR, you have the right to:
- Access the personal data we hold about you
- Request correction or deletion of your data
- Request a copy of your data via the “Request My Data” feature
- Withdraw consent and delete your account at any time
All of this can be done via your profile settings or by contacting us directly.
